Privacy Policy
Effective date: October 28, 2026 · Last updated: October 28, 2026
This Privacy Policy explains how Blu Hat Funding LLC, operating as RouteBoss ("RouteBoss," "we," "us") collects, uses and protects information on our website (routeboss.app) and in the RouteBoss app (together, the "Service").
1. Who this covers
RouteBoss is software for pool service companies. Four kinds of people use it or show up in it:
- Pool company owners and their office staff, who sign up and run their routes in RouteBoss.
- Techs, who use the app on their phone to mark each pool done or missed.
- Homeowners (the pool company's customers), who get emails about their pool visits.
- Website visitors, including people who ask for a free trial or a call.
Each pool company owns its customer list. We hold and process that list for the pool company so it can run its routes and email its customers. If you are a homeowner, your pool company decides what goes into RouteBoss about you, and it is your first contact for questions about your service.
2. Information we collect
- Owner and staff info: name, email, phone number, and company name.
- Tech info: name, phone number, preferred language, and the cross-streets where they start their day.
- Homeowner info (entered by the pool company): name, service address, email, phone number, service day, gate and pool notes, and visit history.
- Visit records: when a tech marks a pool done, we save a photo taken with the phone's camera at that moment, the time, and the phone's location at that moment (to confirm the tech was at the pool). We also save missed-visit reasons and tech notes.
- Messages: the emails sent to homeowners, and any notes homeowners send back through the email buttons.
- Trial and call requests: name, company, cell phone, email, about how many pools you service, and the best time to call.
- Website usage: pages visited, buttons clicked, device and browser type, and rough location based on IP address.
We do not collect or store credit card numbers. When we start charging, our payment processor (Stripe) will hold them.
3. How we use information
- Build and show each day's routes for the pool company and its techs.
- Send homeowners the emails their pool company has set up (see section 4).
- Keep a permanent record of each completed visit, so the pool company has proof of service for billing.
- Alert the owner when something needs attention, such as a missed pool or a tech note.
- Call you back about a trial or a demo you asked for.
- Provide support, keep the Service secure, and improve how it works.
- Follow the law.
We do not sell your information, and we do not use it for advertising.
4. Emails to homeowners
RouteBoss sends email only. We never send text messages. Emails are sent in the pool company's name, and replies go to the pool company.
Homeowners may get:
- A reminder the night before their service day.
- A "your pool is done" email with a photo.
- If a visit is missed, a note with the new day. The pool company approves these before they go out.
- Other messages the pool company writes or approves.
Photo links in these emails stop working 90 days after the visit. The pool company keeps the photo in the app.
The pool company is responsible for having permission to email its customers. If you are a homeowner and want these emails to stop, ask your pool company, or email us at support@routeboss.app and we will let them know.
5. AI features
RouteBoss uses Claude, an AI model made by Anthropic, for two things:
- Drafting replies to homeowners, using only facts from the visit record (tech note, photo, visit time).
- Translating notes between English and Spanish for techs and owners.
No AI draft is ever sent until the owner reads it, can edit it, and taps send. Under Anthropic's commercial terms, the information we send is not used to train their AI models.
6. Who we share information with
Inside RouteBoss:
- Techs see what they need to do the job: the address, gate and pool notes, and the day's stops. Techs never see a homeowner's phone number or email.
- Each pool company sees only its own data. One company can never see another company's data.
Outside RouteBoss, only with service providers that help us run the Service:
- Supabase stores our data and handles sign-in.
- Vercel hosts our website and app.
- Resend delivers our emails.
- Anthropic (Claude) powers AI drafts and translation.
- Google Maps turns addresses into map locations and measures driving distance.
- PostHog measures how people use our website.
- Stripe will handle payments once we start charging.
These providers may use the information only to provide their service to us. We may also share information if the law requires it, or as part of a sale or merger of our business (the buyer would have to follow this policy).
7. How long we keep information
- Completed visit records are kept for as long as the pool company's account is open. They are the pool company's backup for billing.
- Photo links in homeowner emails stop working after 90 days.
- If a pool company cancels, its access stops. We keep its data for at least 90 days in case it comes back, and delete it when the company asks.
- Trial and call requests are kept while we are talking with you. Ask us anytime and we will delete yours.
8. Security
Sign-in is by email link. There are no passwords to steal. Data is encrypted while it travels and while it is stored, and each company's data is walled off from every other company. Pool company owners are responsible for the tech phones they pair with their account, and for removing a tech who leaves. No system is perfectly secure, so we cannot promise that nothing will ever go wrong. If it does, we will tell the people affected as the law requires.
9. Your choices and rights
You can ask us to:
- Show you the personal information we have about you.
- Fix information that is wrong.
- Delete your information.
Email support@routeboss.app. If you are a homeowner, we may pass your request to your pool company, since it controls your information. Some records may need to be kept by law or for a pool company's billing.
10. California privacy rights
If you live in California, the California Consumer Privacy Act (CCPA) gives you the right to know what personal information we collect, use and share; to ask us to delete it or correct it; and to not be treated differently for using these rights. Section 2 lists what we collect, section 3 why, and section 6 who we share it with.
We do not sell personal information, and we do not share it for targeted advertising. To use your rights, email support@routeboss.app. We will confirm your request, may ask a few questions to make sure it is really you, and will answer within 45 days. You can also have someone you trust make the request for you.
11. Cookies and analytics
We use PostHog to count visits and clicks on our public website. It is set up without cookies, so it does not follow you across visits or to other websites. The app itself uses only the cookies it needs to keep you signed in. We do not use advertising cookies.
12. Children
RouteBoss is for businesses. It is not meant for children under 13, and we do not knowingly collect their information. If you think we have, email us and we will delete it.
13. Changes to this policy
If we change this policy, we will update the date at the top of this page. If the change is big, we will also email pool company owners before it takes effect.
